Koja Code of Conduct

This Code of Conduct was approved by the Koja Board of Directors on 20 March 2015 (updated 10 April 2019).

Koja Ltd. is a family business founded in 1935. We operate globally and specialise in cost-effective and energy-efficient HVAC technology and air conditioning systems with a small footprint for buildings, ships and industry.

Koja’s objective is to pursue long-term profitable business in an ethical and responsible manner. We want to be a progressive company, well known for our ability and willingness to ensure that we comply with high health, safety and environment quality standards. We contribute to more sustainable development and energy efficiency in all our activities globally. Our management system is certified according to the international standards ISO 9001:2015, ISO 14001:2015 and OHSAS 18001:2007.

We accept nothing but the best quality in our products and services. We are strongly committed to continuously improving the quality and reliability of our products and services. We also expect the highest quality in our internal work and interaction with our co-workers.

The Code of Conduct defines the way all Koja employees should operate, without exception.

All the company’s rules and guidelines must be in full compliance with it.

Environmental Practices

Koja strives to expand the implementation of its environmental management practices in accordance with the ISO 14001 standard and looks for opportunities to maximize the use of best practices and synergies between our businesses.

A key driver of our business is to develop and offer our customers energy-efficient products and services. In our own operations, we also strive for ecological sustainability in everything we do. Together with our partners and customers, we strive to minimize our carbon footprint and thereby help to mitigate climate change.

We anticipate the environmental concerns of our customers and the expectations of the public. Our technological competence is supported by our research and development activities, as well as by our cooperation with customers and other technological partners.

Compliance with Laws and Regulations

Koja is committed to fully complying with all applicable national and international laws, regulations and generally accepted practices. Should these prove to be insufficient or open to interpretation, we will seek out and consult with the best available expertise. These include laws and regulations related to competition, product safety and product liability, occupational health and safety, labour, the environment, protection of intellectual property, protection of individual privacy and equality at work. Irrespective of position, nobody at Koja has the right to expect or allow illegal activities.

Respecting and Promoting Human Rights

Koja supports and respects the protection of human rights, as expressed in the UN Universal Declaration of Human Rights, in its own operations and promotes their implementation in its sphere of influence.

Among those rights which Koja views as fundamental and universal are: freedom of thought, opinion, expression, religion and to peaceful assembly, as well as freedom from any discrimination based on race, age, nationality, gender, disability or sexual orientation.

Koja does not tolerate the use of forced or child labour. We do not engage subcontractors or suppliers that do so. We do not allow behaviour that is physically coercive, threatening, abusive or exploitative.

Rejection of Corruption and Bribery

Koja prohibits any corruption or bribery in its operations. Koja and its employees will not pay or offer to pay bribes or illegal payments. We do not pay to facilitate favourable decisions or services from the authorities.

We refuse to participate in or support money-laundering under any circumstances in our operations worldwide.

We do not accept gifts from business partners exceeding normal standards of hospitality. If the acceptance of a gift or favour includes the remotest possibility of a conflict of interest, we always clarify the situation with management in advance.

Human Resources Practices

All Koja employees with managerial duties are required to actively promote a leadership culture that is in accordance with this Code of Conduct.

Koja is committed to treating all employees fairly, impartially and equally. We are committed to equality of opportunity in all our employment practices, policies and rules.

Koja strives to provide a safe and inspiring working environment to all its employees. The employees are required to conduct their duties without endangering work safety. We work to prevent accidents and injuries by executing policies and actions that minimize, as far as is reasonably practicable, the causes of hazards inherent in the working environment.

We encourage our employees to engage in their own personal and professional development and growth
with regard to their work.

Fair Competition and Compliance with Anti-Trust Legislation

Koja supports and strives for fair competition and free markets, and thus we refuse to enter into discussions or agreements with competitors concerning pricing, market share or other similar activities. We comply with the competition legislation of the countries Koja operates in.

Intellectual Property and Company Assets

Koja values the creation and protection of knowledge and intellectual property. We act to safeguard Koja’s intellectual property and do not allow unauthorized access to it by outsiders. We also respect the intellectual property held by outsiders and do not try to obtain it by illegal means. We encourage and support employee commitment and efforts to increase our intellectual property and thus to contribute to the competitiveness and profitability of Koja.

We safeguard confidential information, information systems and technology, and Koja's physical assets from loss, theft and misuse. We use electronic communication technology responsibly and professionally.

If financial misconduct is suspected, any of our employees can report it to their own supervisor or other management representative or to the Koja whistle-blower channel, confidentially and anonymously.

Ethical Standards of Suppliers

We expect our suppliers and contractors to demonstrate similar high ethical standards and, accordingly, this criterion is of prime importance when establishing or continuing business relationships.

We strive to develop and maintain a network of suppliers that are actively willing to foster ethical principles and practices, and we are therefore prepared to support our partners in this by sharing our experience and views. The common goal of this cooperation is to reduce risks in the partnerships, as well as to enhance confidence in, and the reputation of, the industry.

Substance Abuse Policy

This policy covers all actions that relate to the illegal use, possession, sale or transfer of alcohol, illegal drugs and inhalants.

Our company is a drug-free workplace. The purpose of this policy is to ensure the safety of all employees and to promote productivity. This policy applies to all employees, contractors and temporary workers. Substances covered under this policy include alcohol, illegal drugs and inhalants, as well as prescription and over-the-counter medicines.

We reserve the right to inspect our premises for these substances. We reserve the right to conduct alcohol and drug tests at any time. We may terminate your employment if you violate this policy, refuse to be tested or provide false information.

If we suspect drug use, we follow the normal testing protocol. We will adhere to the company regulations and local legislation after receiving the test results.

Our employee assistance program provides education about drug and alcohol abuse. Employees can also get counselling about substance abuse and other issues.
